Your office relocation check list
Moving a house can be hectic & chaotic but relocating an office is double times hectic. It’s such a chaos that it will make moving a house feel like a piece of cake.We have sorted all the important steps you will need to follow before, after & during relocating your office and listed them all below.
Before the move
Before relocating your office consider the following checklists for more convenience
Checklist#1 (Things you need to plan)
- Obtain a floor plan of your current office layout
- Obtain the blue-print of your new office
- Pre-plan the furniture orientation using the blue prints you obtained earlier
- Determine the location of shared office equipments in your new office e.g. office fax machine etc
- Identify the personal office equipments on the floor plan
- Pre-plan on which desk who will sit
- Assign each desk a specific number to avoid confusions and chaos
- Assign all the numbers in a row to one departments for example, numbers 1 to 10 are assigned to the marketing staff and 11 to 20 are assigned to the customer service staff.
- Assign every office a number too
- Co-ordinate with IT to insure all the data and power needs are ready (will be ready until the moving day)
- Confirm that you have all the minutia to access the new building (office)
- Make sure there will be parking space for the removalists
Checklist#2 (Who to communicate with and when)
- Send your removalists copies of your floor plans along with the blue prints of your new office mentioning the furniture orientation so, they can have a better understanding of the whole layout on time
- Ask the staff to get their packing done before the time
- Make sure the staff knows the exact location of the new office
Checklist#3 (Packing)
- Make sure you have plenty of cartons because stuffing a lot of things into just one big box can be destructive and can cause confusion at the time of unpacking
- Use masking tape or stick on labels to label all the desks and other furniture to avoid confusion at the time of unpacking
- Mark all the cartons with numbers and mention on them what’s placed inside
- Pack all kind of cables in plastic bags and mark them too
- Use masking tape or stick on labels to mark the base of desktops, fax machines or any other office electronic equipment
- Instead of packing expensive possessions such as laptops, ipads etc, take them home with you
- Mark the cartons according to their fragility such as if a carton holds desktops, it should be handled with care and should never be placed upside down so, mark that box with the label fragile & this side up
- Make sure you don’t stuff a lot of things into just one box that might save you room but will result in massive destruction and chaos at the time of unpacking
Checklist#4 (Things you need to do at your new location)
- To avoid any confusions post directions on the walls, using carton numbers, for the removalists for example, for carton number 20-30 move right
- Masking tape can be your best friend while relocating an office so, use enough making tape to post directions or to plot out where the desks and the rest of furniture should go
- Consider the layout of your new office building that shows the orientation of all the furniture and office electronics
During the move
- You might want to follow the following checklist during your relocation
- Make sure one or two person stays at the old location and does not leave until the last box is loaded
- Make one or two person stay at the new location before the first truck arrives there
- Try to have the removalists work on one area at a time especially in a bigger building, this will improve the quality of work done in a specific time limit
- Make sure everything is has been moved in before trying to connect cables, phones and computers
Before the staff arrives
- Before the office staff arrives take a quick tour around the office and make sure that the items or boxes on each person’s desk correspond with their allocated number
- There’s no junk anywhere around the office
- The walkways are clear
- All the electronics are working properly
- All the phone lines are connected
- The desktops are in working condition
- Shared office things such as Fax, fridge, cooler etc are in working condition
